Hat Bar Party Pricing
Hosts always ask the same two questions: what does it cost, and what changes the number? Here are both answers before you ever talk to us.
The anchor numbers
- From about $5,000 for a fully staffed hat bar at a local Southern California party — hats, patches, presses, crew, setup, and teardown included
- $250 per hour of staffing, counted from setup through teardown, not just open-bar hours
- $900 travel fee for parties outside Orange County, Los Angeles, and San Diego — this is how Las Vegas and destination parties are quoted
What moves the quote
- Headcount. Hats and patches scale with your guest list; 30 guests and 90 guests are genuinely different events.
- Hours. A 90-minute shower bar costs less to staff than a four-hour company party.
- Hat selection. Foam truckers and premium leather-patch-ready caps sit at different price points.
- Add-on stations. Live embroidery, favor totes, or a tee table each add equipment and crew time.
- Custom patch artwork. Stock menus are included; patches made from your own design carry a production run.
A realistic example
A 40-guest backyard birthday in Long Beach: two crew, two presses, a two-hour bar with an hour of setup and 45 minutes of teardown, 50 hats in three colorways, and a 90-patch menu. That party lands near the starting anchor. Move the same party to a Las Vegas rental house and add the $900 travel fee; add live embroidery and budget for the extra operator hours. No line-item surprises after the fact — the quote you approve is the number you pay.
Two things we are often asked: yes, unused blank hats stay with the host, and no, there is no charge to hold a quote while you confirm your venue.
